Sharing Information with Others
First and foremost, HFF NEVER sells customer lists or specific customer information to 3rd parties. At times we may select other companies to provide products and services that we do not (an example is online calculators). HFF may share certain customer information with such companies. HFF is highly selective in choosing these companies, and we restrict the information we provide them to only what they need to offer and administer these products or services. We also require them to comply with strict standards of security and confidentiality, and they are not permitted to release, use, or transfer any customer information to any other party for their own purposes.
Notwithstanding the foregoing, we may disclose and/or transfer customer information (i) in connection with any merger, sale, or liquidation of all or part of our business; (ii) if disclosure is required pursuant to a request for specific customer information to comply with a subpoena, court order, and/or other legal instrument, legal proceeding or relevant law, or (iii) if there is an immediate, imminent threat to the safety of any person, HFF, or our web site.
Information Confidentiality and Security
HFF is committed to preventing others from unauthorized access to your customer information, and we maintain procedures and technology designed for this purpose. We take several steps to protect the customer information we have about you, including the following:
- We update and test our technology on a regular basis in order to improve the protection of customer information.
- We require outside companies and independent contractors to whom we provide customer information for marketing, servicing or processing purposes to enter into a confidentiality agreement that restricts the use of the information to those purposes and prohibits independent use of the information.
- We have internal procedures that limit access to customer information, such as procedures that require an employee to have a business need to access customer information. We maintain policies about the proper physical security of workplaces and records.
- We make use of hardware and/or software firewalls to protect customer information from unauthorized access.
Information Integrity Measures
HFF also strives to protect the integrity of our customer information through use of the following:
- We maintain regular backups of customer data in case of data loss or corruption;
- We use uninterruptible power supplies (UPS) to prevent data loss during power spikes and power outages;
- We use virus detection and elimination software to prevent corruption of customer data by viruses.
However, despite these measures, we cannot guarantee that customer information will be completely free from unauthorized access.
Customer Opt Out
Customers may opt out of receiving notices of new or upgraded products from HFF and HFF partners by sending an online opt out request. In your request, please include your company name, products or services purchased from HFF, domain name (if applicable), your contact information, and the nature of your opt out request. However, customers may not opt out of receiving information from HFF that is essential for maintaining or updating customers' accounts or system information. In addition, opt out does not include updates that may be presented within other HFF online products and services (such as cross-sell banners or feature bulletins).
